Why Every DJ on Your Team Needs Their Own Portal
If you run a multi-op DJ company, think about how much time you spend each week on DJ communication. Texting schedules, emailing pay details, chasing down availability, collecting W9s, fielding questions about upcoming gigs. It adds up fast.
Now imagine every DJ on your team had their own login, a dedicated workspace where they could see everything they need without calling or texting you. That's what a DJ portal is, and once you have one, you'll wonder how you ever ran your business without it.
What a DJ Portal Actually Looks Like
A real DJ portal isn't just a shared Google Calendar or a spreadsheet with login credentials. It's a workspace designed specifically for the working DJ. Here's what laavi's DJ portal includes:
Calendar. A visual calendar showing all upcoming gigs with event details. DJs can also log external gigs (events they're working outside your company) so you have visibility into their full schedule. Google Calendar sync keeps everything in one place.
Schedule. A dedicated tab showing confirmed assignments with full details: event date, venue, event type, start and end times, and a clear pay breakdown showing flat rate, hourly rate, or both. DJs can confirm or decline assignments directly from this screen.
Available Bookings. A claim system for open gigs. When you have an event that needs a DJ, post it to the available bookings board and let your DJs claim it. First come, first served, or review claims and approve manually. Either way, it eliminates the "who's available Saturday?" group text.
Earnings. A financial summary showing upcoming earnings, total earned, and total paid. DJs can see exactly where they stand without asking you for a pay stub or waiting for end-of-month accounting.
Time-Off Requests. DJs submit time-off requests through the portal. You approve or decline from your admin dashboard. No more "hey, I can't work that weekend" texts that get buried in your message thread.
W9 Management. DJs upload their W9 directly to the portal. You can see the status (uploaded, pending, missing) at a glance during tax season instead of chasing down paperwork.
Team Directory. A roster of everyone on the team with contact info. Useful when DJs need to reach each other for hand-offs, equipment questions, or coordination.
Team Hub. An internal message board for company announcements, tips, discussion, and shared knowledge. Think of it as your company's internal forum, better than a group chat because posts don't disappear and new team members can read the history.
Social Media Dashboard. A place for DJs to see and engage with the company's social media presence, keeping everyone aligned on brand messaging.
Brand Assets. A centralized page where DJs can download logos, templates, intro slides, and any branded materials they need for gigs.
Education & Training Library. Upload training videos, SOPs, setup guides, and onboarding materials. New DJs get up to speed faster, and experienced DJs can reference materials anytime.
Mobile-Optimized. The entire portal is designed for mobile with bottom navigation. DJs check their portal from their phone on the way to a gig, between sets, or from the booth. If it doesn't work on mobile, it doesn't work for DJs.
Why This Matters for Your Business
Every feature above replaces a manual process. No more group texts for scheduling. No more spreadsheets for pay tracking. No more emails for W9 collection. No more phone calls asking "when's my next gig?"
The time savings compound. If you have 5 DJs and each one sends you 3 administrative messages per week, that's 15 conversations you're managing on top of client communication, venue coordination, and actually running your business. A DJ portal doesn't just save you time. It gives your DJs autonomy and professionalism.
What to Look for in a DJ Portal
If you're evaluating software for your DJ company, here's the checklist:
- Can each DJ log in with their own account?
- Can they see their schedule, pay, and earnings without asking you?
- Can they claim open bookings?
- Can they request time off?
- Can they upload tax documents?
- Is there a team communication tool built in?
- Does it work well on mobile?
If the answer to any of these is "no" or "sort of, with a workaround," you're looking at a tool that wasn't built for multi-op DJ companies.
