    Zoom Integration Guide

    Overview

    laavi connects to Zoom so that meetings for client consultations and event planning sessions are created automatically. Each laavi user connects their own personal Zoom account. laavi never posts to Zoom on behalf of anyone who has not connected their own account.

    Before you start

    • You need a laavi account with access to Scheduling.
    • You need a Zoom account. A free Zoom account works, but free accounts have Zoom's 40-minute limit on group meetings.

    Adding the integration

    1. Sign in to laavi.
    2. Go to Settings, then Connected Apps.
    3. Find the Zoom card and click "Connect Zoom".
    4. You will be redirected to Zoom and asked to authorize laavi. Review the permissions and click Allow.
    5. You are returned to laavi and the Zoom card shows your connected Zoom account.

    Using the integration

    1. Go to Scheduling, then Meetings, then the Settings tab.
    2. Under Meeting Types, create or edit a meeting type and set its Location to "Zoom". You do not paste a link, laavi generates one per booking.
    3. When a client books that meeting type, or when you create a meeting manually, laavi creates a Zoom meeting on the assigned host's Zoom account.
    4. The join link is attached to the appointment in laavi and included in the confirmation and reminder messages the client receives.
    5. Meetings are created with the Zoom waiting room enabled, so the host controls who is admitted.

    Permissions we request

    laavi requests only these Zoom permissions:

    • View a meeting (meeting:read:meeting)
    • Create a meeting for a user (meeting:write:meeting)

    We use these solely to create meetings for your scheduled appointments and to read back the join details. laavi does not access your Zoom recordings, chat, or contacts.

    How your data is handled

    laavi stores your Zoom access and refresh tokens and the email address of the connected Zoom account on our servers. These are held in a managed PostgreSQL database that is encrypted at rest, are never exposed to the browser, and are only read by our server-side functions. All traffic between laavi and Zoom uses TLS 1.2 or higher. See our Privacy Policy for full detail.

    Removing the integration

    You can disconnect at any time, in either of these ways.

    From laavi:

    1. Go to Settings, then Connected Apps.
    2. On the Zoom card, click Disconnect.

    From Zoom:

    1. Sign in at marketplace.zoom.us.
    2. Click Manage, then Added Apps.
    3. Find laavi and click Remove.

    Either method revokes laavi's access to your Zoom account. When an app is removed from the Zoom App Marketplace, Zoom notifies laavi and we delete the stored credentials for that user. Meetings that were already created remain on your Zoom account until you delete them in Zoom.

    Troubleshooting

    • "Connect Zoom" returns an error: confirm you are signing in with the Zoom account you intend to connect, then try again.
    • No Zoom link on a booking: check that the meeting type's Location is set to Zoom, and that the assigned host has connected their own Zoom account.
    • Wrong host on the meeting: the Zoom meeting is created on the account of the team member assigned to that appointment.
