Give Your Clients the VIP Treatment: laavi's Client Portal
The client experience starts the moment someone books you and doesn't end until the last song plays. In between, there's music planning, timeline coordination, contract signing, payments, and a dozen other touchpoints. Most DJ companies handle all of this through email, PDFs, and phone calls.
It works. But it doesn't impress. And in a competitive market, the experience you deliver off the dance floor matters as much as what you deliver on it.
Here's a walkthrough of what a purpose-built client portal looks like, one designed specifically for entertainment companies.
Dashboard
When your client logs in, they see their event dashboard: a countdown to their event date, a progress ring showing how much of their planning is complete, quick action buttons for common tasks, a weather widget for their event date, and a "Meet Your DJ" card introducing the DJ assigned to their event with a photo and bio.
This isn't a generic project dashboard. It's built around the fact that your client has an event on a specific date and needs to prepare for it.
Music Planning
This is where DJ client portals differentiate themselves from generic CRMs. Music planning is the single most important piece of client preparation for a DJ company, and most software completely ignores it.
laavi's music tab includes:
- Era Selector. Clients choose the decades they want represented: Classic Oldies, 70s, 80s, 90s, 2000s, 2010s, and 2020s. This gives your DJ a quick vibe check before diving into specific songs.
- Genre Selector. 16 genre options that cover the full spectrum of what clients actually request. Clients pick their favorites, and your DJ knows the musical direction before the first consultation.
- Must-Play List. Clients search for specific songs using Spotify autocomplete. Type a song name, see results, click to add. No more misspelled song titles or "that one song that goes like this."
- Do-Not-Play List. Same Spotify-powered search for songs the client absolutely doesn't want to hear. Every DJ knows the importance of this list.
- Playlist URL. Clients can paste a link to their Spotify or Apple Music playlist for additional reference.
- Vibe Notes. A free-text field for anything that doesn't fit into genres and song lists. "We want the dance floor packed all night" or "Keep it classy during dinner, then go hard after cake cutting."
Wedding Planning Forms
For wedding DJs, the planning forms are where the real coordination happens:
- Wedding Planner. Vendor details, bridal party information, reception preferences, special dances (first dance, father-daughter, mother-son), cake cutting details, and other reception logistics.
- Ceremony Planner. Processional and recessional song selections, officiant details, and ceremony logistics. Clients pick their ceremony songs using the same Spotify search.
- Grand Entrance Builder. Wedding party order, individual entrance songs, and introduction format preferences. Clients build their grand entrance step by step.
- Timeline Builder. A drag-and-drop timeline for the entire event. Cocktail hour, introductions, first dance, dinner, toasts, open dancing, all in order with timing.
Contracts
Clients review and e-sign their contract directly in the portal. No third-party tool, no "please print, sign, scan, and email back." One click, done.
Invoices & Payments
All invoices live in the portal with online payment through Stripe. Clients see their balance, payment history, and can pay with a credit card instantly. No Venmo requests, no "check is in the mail."
Wedding Website Builder
Clients can build a wedding website directly within their portal, complete with RSVP functionality and registry links. It's a value-add that many DJ companies offer but few CRMs support natively.
Chat
A unified chat system where clients can communicate with their assigned DJ, your office team, or an AI assistant for common questions. All conversation history lives in one place, no digging through email threads.
Planner Access
Clients can invite their wedding planner to access the portal and collaborate on planning. The planner sees the timeline, music selections, and event details without needing a separate login flow.
Add-Ons Marketplace
Upsell lighting, photo booths, extra hours, or other services directly through the portal. Clients browse options and add them to their package.
Portal Lockout
An auto-lock feature that closes editing access before the event date. Once the client's planning window closes, changes go through your office directly. This prevents last-minute chaos and gives your DJ team a stable plan to work from.
Why This Matters
Every touchpoint above is an opportunity to impress or frustrate your client. A polished portal with Spotify-powered music planning and a wedding website builder tells clients they hired a professional operation. A PDF questionnaire and a Venmo request tells them something else.
