Inside laavi's Admin Dashboard: Everything You Need to Run Your DJ Business
Running a DJ company means juggling bookings, DJs, clients, invoices, venues, leads, and a dozen other moving pieces, often at the same time. Most DJ business owners piece together a solution from spreadsheets, email, a CRM that doesn't quite fit, and a lot of mental overhead.
Here's a walkthrough of what a purpose-built admin dashboard looks like when it's designed specifically for entertainment companies.
The Main Dashboard
When you log in, you see a snapshot of your entire business:
- Metrics Cards. Upcoming events, revenue, total clients, pending contracts, and active leads. The numbers you check every morning, front and center.
- Enhanced Calendar. A visual calendar showing all bookings with Google Calendar sync. Click any event to see full details, assigned DJs, contract status, and payment progress.
- Tasks Panel. Your to-do list integrated directly into the dashboard. Follow-ups, DJ confirmations, client check-ins, everything in one place.
- Leads Panel. Active leads with status, source, and next action. New inquiry comes in? It shows up here immediately.
- Unassigned Bookings Panel. Confirmed events that still need a DJ assigned. This is your "action needed" list. You should never lose track of an unassigned event.
- Upcoming Birthdays. A small touch, but knowing when your clients' birthdays are coming up is a relationship builder.
- Financial Snapshot. A quick view of revenue, outstanding invoices, and payment trends without switching to a separate accounting tool.
- Weather Widget. Weather forecasts for upcoming outdoor events. Useful for tent decisions, backup plans, and client communication.
Bookings
Switch between list view and calendar view. Each booking shows:
- Event details (date, time, venue, event type)
- DJ assignment status and assigned DJ
- Contract status (sent, signed, pending)
- Payment tracking (paid amount vs. total, with visual progress)
- Planning status indicators (music submitted, timeline complete, forms filled)
- Music status indicators (genres selected, songs submitted)
- Client contact info with one-click access
Click into a booking to manage DJ assignments. The assignment dialog lets you pick a DJ, configure their pay (flat rate, hourly, or both), check their availability, and send the assignment. DJs confirm or decline from their own portal.
Invoices
Invoice management with real workflow tools:
- Search. Find any invoice by number, client name, or amount.
- Filter Chips. One-click filters for overdue, unpaid, partial, and paid invoices. See exactly where your money stands.
- Overdue Banner. When invoices are past due, a banner appears with a bulk reminder option. One click sends payment reminders to all overdue clients.
- Bulk Actions. Select multiple invoices and mark as paid, send reminders, or delete. Batch operations for end-of-month accounting.
- Record Payment. Log partial or full payments directly against an invoice. Track deposits, installments, and final payments.
DJ Management
Your DJ roster with full management capabilities:
- Assignment Dialog. Assign DJs to events with pay configuration.
- Pay Configuration. Set up flat rate, hourly rate, or both for each DJ per event.
- Portal Preview. Impersonate a DJ to see exactly what their portal looks like. Useful for troubleshooting and onboarding.
- DJ Onboarding. A structured process for bringing new DJs onto your team: profile setup, W9 collection, training assignment, first event walkthrough.
- Availability Management. See which DJs are available for a given date and who has conflicts.
Lead Management
Track leads from first contact to signed contract:
- Lead source tracking (venue referral, website, social media, word of mouth)
- Status pipeline (new, contacted, proposal sent, follow-up, booked, lost)
- Automation builder for lead follow-up sequences
- Conversion tracking
Venues
Venue management and referral tracking:
- Venue profiles with contact info, capacity, and notes
- Referral tracking: which venues are sending you clients
- Referral reporting: data to bring back to venue partners to strengthen relationships
Additional Admin Tools
- Clients. Full client directory with event history and communication log
- Contracts. Contract management with status tracking across all events
- Tasks. Task management with due dates, assignments, and completion tracking
- Scheduling. Team scheduling with availability and conflict management
- Communications. Centralized communication hub
- Social Media. Social media management dashboard
- Workflows. Automation builder for repetitive tasks
- Nightlife Events. Management tools for recurring nightlife bookings (clubs, bars, residencies)
- Settings. Company settings, branding, user management, and integrations
Why Purpose-Built Matters
Every section above reflects a real workflow that DJ company owners deal with daily. Generic CRMs force you to adapt your business to their structure. A purpose-built dashboard adapts to your business.
You shouldn't need a YouTube tutorial to figure out how to assign a DJ to a booking. It should just be a button on the booking page.
